After you have published your guide, you will share it with users to allow them to access the content you have added and encourage them to engage with each other when mobile.
This article will walk through the onboarding process for mobile end users, depending on your guide's privacy.
Public
When your content can be accessed by all users without restriction, we recommend using the public privacy setting. To download a public guide, navigate to Find Guides and search for the name of the guide.
Passphrase
When you want to limit who can access your guide, we recommend using the passphrase privacy setting. To download a passphrase-protected guide, navigate to the Passphrase tab and enter the passphrase to download.
Invite Only Guide
When you want to manage who can access your guide, we recommend using the Invite-Only privacy setting. This setting will allow you to revoke users who you no longer wish to grant access to your content.
In order for a user to download an Invite-Only guide they must be added to the user’s list and sign in with the Guidebook account they were invited with.
Guide collaborators will also need to be invited to the guide as users to access the guide.
To download an invite-only guide, users must log in with the email address that has been added to the User's list and the guide will appear in the My Guides tab. Users only need to log in once to access the guide.
There are several different options available to promote your invite-only guide. The invitation emails sent via Builder will provide a link to download the app. If you wish to create your own marketing emails, you can find this link at the bottom of the email to share with your own communications.
When the app is opened, users are prompted to enter their email. This will send them a second email with a login link. If they tap on the link from the login link email, they will complete the login process. New users will find a temporary password on the login link email, which they can choose to use instead of the login link by tapping on Log in with a password instead.
In the Promote section of your guide, you will find other ways of communicating about your guide with users, including a QR code for the guide URL, which you can share digitally or print to use on-site.
Branded Options
Space
When your guide is attached to a branded space, users will have one more step after downloading the Guidebook app. To find a branded space, users tap the icon at the top left corner of the screen, then select 'Access another space...' at the bottom of this page. There, the user will search for the space and add it. Once in your branded space, they will find and download any guides using the same steps above.
Branded App
Users can easily find public guides on a multi-guide branded app via the Find Guides tab. They can enter a passphrase-protected guide passphrase via the Passphrase tab at the bottom of the screen. For invite-only, they'll need to log in with their invited account and find the guide in the My Guides tap. They can also use the link in the invitation email to log in using login links, just like in the Guidebook app.
With a single-guide branded app, your app will open right in the guide if it's public. With invite-only, users will be asked to log in with the email they were invited with.
Single Sign On (SSO)
When your branded app or space has been set up with Gated SSO, users will need to authenticate with their third-party log-in to access the content of your guide.
SSO is only available for clients who have purchased a branded option
When your branded app or space has been set up with Non-Gated SSO, users can download a guide using the process above based on the privacy setting of the guide and log in to the app with their third-party log-in.
If your organization is set up with Gated SSO and your guide will be invite-only, you must enable the SSO option when adding users to your guide.
