Managing Your Organization as a Member

As an org member you can work on any guide that an org admin has invited you to collaborate on. This article will show you how to access these guides and how to request access to a new guide if you want to build a new guide that will be owned by the organization you are a part of.

Accessing Org Guides

When you log in to Guidebook Builder, you will arrive at the Builder homepage. To access the guides you have access to within your organization, select your org via the drop-down menu on the left of the Builder homepage.

This will bring you to your organization’s homepage. Select Org guides in the left sidebar to see the guides you have access to. The In Progress tab shows guides that have been started or are already live, and the History tab shows Archived or Lapsed guides.

Starting a New Guide

As an org member, you’ll need to request access before you can start building a new guide.

  1. Click the Build New Guide button in the upper right corner of your org’s Guides page.

  2. Your organization’s available guides are grouped into two sections:

    • Available Now: Guides that are in service and ready to publish. These should be used first.

    • Upcoming: Guides with a future activation date. They can be built now but can’t be published until their activation date.

  3. Choose a guide that will be active during your event dates. Guides you need permission to use show a lock icon in the top left corner. Hover over the guide to see its details (“This guide is restricted and requires admin approval”), then click Click to request access.

  4. Fill out the request and click Request access to submit.

Your request will be emailed to the org admin(s). They will either approve or deny the request, and you will receive an email either granting you access to the guide you requested or informing you that your request was denied by the org admin.

If your request is approved, the next time you log into Builder, you’ll see the guide you requested under Org guides, in the In Progress tab. If your request is denied, please reach out to your org admin for more information.

FAQs

I was asked to work on a guide, but when I log in I don’t see the guide I’m supposed to work on.

Your organization’s purchased guides appear either on the Build New Guide page (if no one has started them yet) or under Org guides (once someone has). If you don’t see the guide under Org guides, you may need to request access from your org admin, as shown above.

I’ve created a guide on my personal account, how do I move it to my org?
To transfer information from one guide to another, use the copy content tool. You won’t be able to move the guide itself.

I need to become an org admin. How do I do that?
Contact an admin in your org and they can update your role by going to the org dashboard, navigating to the Members tab, and changing your role in the drop-down menu.

I don't know what I want to name my guide yet. Do I have to include one in the request?
You are required to fill in the field for your request, but don't worry, you can change the name anytime throughout the guide-building process until you publish the guide. The name you supply in the request is only a suggestion.

I am trying to build a new guide, and I don't see any of the guides we paid for.
Check both the Available Now and Upcoming sections on the Build New Guide page. If you still don’t see any guides, reach out to your org admin.

Whoops - I started working on the wrong guide. What do I do?
If you were supposed to be building content on a pre-purchased guide, but you accidentally started working on some other guide (perhaps a guide on your individual account), don't worry!

If you have not published your guide yet, check in with your org admin to find the correct guide. Then, use the copy content tool to move your content from the incorrect guide into one of your pre-purchased guides. You can continue adding content to your pre-purchased guide moving forward.

If you’ve already published the incorrect guide, contact your org admin as soon as possible.
