Guide-Building Team Members: Adding Admins, Editors, and Attendance Managers

If you’re working with a large organization to build your guide—or if you’ll have a lot of information that needs to be added—you may want more than one person to be able to build a guide. It’s never a good idea to share login credentials, but you can add others to help using the Add team members feature.

This article covers people who help build your guide. For end users who download and use it, see Audience Management.

Add or Manage Team Members

On the Builder website locate the guide you want to work on. Navigate to the guide dashboard and click on the Add button near the top right corner of the screen.

In the window that appears, type the email address(es) of the colleague(s) you’d like to add, and set their access level using the drop-down to the right. They’ll be added to the guide right away in the role you choose. There’s no invitation for them to accept, however they will receive an email letting them know they've been added.

  • Guide Admins can add or edit content, publish the guide, publish updates to the guide, compose or send notifications, verify users' attendance, and manage the team member list.

  • Guide Editors can add or edit guide content.

  • Attendance Managers can verify users' attendance to the guide and/or to schedule sessions. This level does not automatically grant access to the guide in the Builder site or add them as an Editor/Admin of the guide. To give an Attendance Manager access to the guide in Builder, add them again as an Editor or Admin, or change their role using the gear icon next to their name.

In this window, Guide Admins can review existing team members status. If any Editors need to be promoted to Admin, or any Admins need to be demoted to Editor, just click on the silhouette icon to the right of the person’s name to make that change. Admins can also revoke access by clicking on the gear icon and selecting Remove.

Both Admins and Editors can make any changes to a guide in Builder, but only Guide Admins are able to copy the content of that guide into another guide. There is no limit to the number of Team Members you can have on your guide, but plan and communicate with team members well to avoid confusion.

After You've Been Added

Admins and Editors

If you already have a Guidebook account, the guide will appear on your Builder homepage the next time you log in. There’s no invitation to accept. If you’re new to Guidebook, check your email for a message to claim your account and set a password, then log in to Builder to find the guide.

Attendance Managers

Attendance Managers don’t have access to Builder. If they already have a Guidebook account, they can log in to the Guidebook app with the same email address to start using attendance tools. If they’re new to Guidebook, they’ll first need to claim their account and set a password using the email they receive.

Once logged in to the app with the same account, they can use the session attendance verification tools (see Track Attendance for Individual Sessions). They’ll also have limited access to Mobile Admin to manage attendance verification for the guide as a whole (see Mobile Admin: Guide Management on the Go).

If you do not see the tools tab in-app right away, try logging out and back in to refresh.

FAQs

I added someone to my guide, but they can’t see it.
Make sure they’re logging in with the same email address you added. If they’re new to Guidebook, they’ll need to claim their account and set a password from the email they received first. If they still don’t see the guide, have them log out and back in.
