After you have published your guide, you will share it with users to allow them to access the content you have added and encourage them to engage with each other when mobile.
This article will walk through the onboarding process for mobile end users, depending on your guide's privacy.
Public
When your content can be accessed by all users without restriction, we recommend using the public privacy setting. To download a public guide, navigate to Find Guides and search for the name of the guide.
Passphrase
When you want to limit who can access your guide, we recommend using the passphrase privacy setting. To download a passphrase-protected guide, navigate to the Passphrase tab and enter the passphrase to download.
Invite Only Guide
When you want to manage who can access your guide, we recommend using the Invite-Only privacy setting. This setting will allow you to revoke users who you no longer wish to grant access to your content.
In order for a user to download an Invite-Only guide they must be added to the user’s list and sign in with the Guidebook account they were invited with.
Guide collaborators will also need to be invited to the guide as users to access the guide.
You have several different options when promoting your invite-only guide. The invitation emails sent via Builder include a link, which is great for promoting. We also recommend using that link if creating your own invitations as well.
The Guidebook Web page is another great option for promoting your guide. You can edit that page in Builder and add information from your guide for users to view. There is also a QR code and download links for each app store there. More information on Guidebook Web can be found in this support article: Guidebook Web and you can see an example here: https://builder.guidebook.com/g/2026eventguide2026/, using the passphrase testers26.
QR codes are also a great way to promote your guide! Once your guide is published, a QR code will automatically be generated for you in the Promote section of Builder. You can download it there and use it however you'd like, whether you print it out or use it digitally.
To download an invite-only guide, users must log in with the email they were invited to the guide with. They’ll then need to use the link they receive after typing in their email to download the guide. Users only need to log in once to access the guide. For login link troubleshooting — including the Log in with a password instead option and tips for when links open in the wrong browser — see our Login Links article.
Branded Options
Spaces
When your guide is attached to a branded space, users have one more step when downloading your guide(s). In the Guidebook app, users tap the Spaces icon in the top-left corner of the screen, then tap Search for another space in the Spaces panel and search for the space by name to switch into it. Once in your branded space, they will find and download any guides using the same steps above.
Branded App
Users can easily find public guides on a multi-guide branded app via the Find Guides tab. They can enter a passphrase-protected guide passphrase via the Passphrase tab at the bottom of the screen. For invite-only, they'll need to log in with their invited account and find the guide in the My Guides tap. They can also use the link in the invitation email to log in using login links, just like in the Guidebook app.
With a single-guide branded app, your app will open right in the guide if it's public. With invite-only, users will be asked to log in with the email they were invited with. Single-guide branded apps do not support Passphrase guides.
A multi-guide app will open to a screen similar to the Guidebook app. However, all guides that can be found in your branded app will only be the ones you attach. Users can easily find those guides on the app's home screen if they are public. They can search for a guide with a passphrase via a tab at the bottom of the screen. For invite-only, they'll need to tap the link in the invitation email they were sent to access those, just like in the Guidebook app.
Single Sign On (SSO)
When your branded app or space has been set up with Gated SSO, users will need to authenticate with their third-party log-in to access the content of your guide.
When your branded app or space has been set up with Non-Gated SSO, users will be able to download a guide using the process above based on the privacy setting of the guide and log in to the app with their third-party log-in.
SSO is only available for clients who have purchased a branded option.
If your organization is set up with Gated SSO and your guide will be invite-only, you will need to enable the SSO option when adding users to your guide.
If you are interested in implementing SSO for your organisation, please reach out to the Sales team at sales@guidebook.com.
